Terms & Conditions

Point Farm Campsite is a relaxed, coastal location, suited to individuals, families and groups. In order to ensure that all our campers enjoy our stay we ask you to comply with our terms.  We hope you enjoy your stay with us!

Your booking is made between you, the guest, and Nia and Fil Marshall, the owners, of Point Farm Campsite, Point Farm Cottage, Dale, Haverfordwest, Pembrokeshire SA62 3RD.

By making a booking you accept the following Terms & Conditions:

Greener Camping Club Certificated Site

Point Farm Campsite is a Greener Camping Club (the Club) Certificated Site and open to members only.  We are situated in the Pembrokeshire Coast National Park, which is a wonderfully unspoilt area due to limited development through tight planning control. In order to comply with countryside planning policy, we operate as a Greener Camping Club members-only campsite.  The Club was established by people with a passion for sustainable, eco-friendly camping holidays.  When you book your holiday with us, you will be enrolled as a member of the Club.  Membership costs just £10 for the calendar year and gives you access to some of the greenest campsites in the UK.  It also includes participation in the Club’s ‘Trees for Life’ scheme, whereby a tree is planted for every member we enrol.

Bookings

We can take bookings direct through our website, the Cool Camping website, by telephone or email.  On booking you will be required to pay a 30% deposit.

Once you have made your booking and paid the deposit, the price of your holiday will not change unless your requirements change. Please make sure you inform us of any changes and extras prior to your arrival.

You will receive an email confirmation of your booking.  It is your responsibility to check all the details of your booking are correct and to notify us of any mistakes prior to your arrival.  We will allocate you a pitch(es) based upon your preference.  We reserve the right to re-allocate pitches depending on need or other requirements. We will let you know if we need to make a change.

The balance is due 30 days prior to the start of your booked camping stay.

Please note that should you wish to extend your stay, this can only be done provided we have an un-booked pitch available. Please contact us and we’ll do our best to accommodate you.

Payment

Bookings are secured with a conditionally-refundable 30% deposit payment made on booking, either through our on-line Bedful booking system (through our website or through Cool Camping).  For bookings taken by email or over the phone we can send you a link to pay on-line.  Alternatively, we accept payment via bank transfer. Payments must be made within 2 days of receiving a payment request or the booking will be cancelled and the dates will be released. Please note that the deposit includes full payment (£10) for your Greener Camping Club membership. The balance is due 30 days prior to the start of your booked camping stay.  If we do not receive your balance by this time, we will assume you have cancelled your holiday and release the dates - see below.  For short-lead time bookings - ie.  those booked less than 30 days before arrival, the full amount will be requested to secure the booking.

Cancellation by You

If you need to cancel your booking for any reason, please confirm in writing, either by email or post. As soon as we receive your written cancellation the following charges will apply:

  • Over 30 days prior to arrival date - we will refund of all monies paid less a 20% administration fee and the £10 Greener Camping Club membership fee (which is not refundable).

  • Less than 30 days prior to arrival date – we will refund of all monies paid only if we are able to re-let the pitch for the dates you have booked, less a 20% administration fee and the £10 Greener Camping Club membership fee (which is not refundable).

If you cancel your booking less than 30 days prior to arrival and the balance is still payable, you will remain liable for payment of the remaining balance unless the pitch is re-let.

We will refund any monies owed via the same means of payment as was received. Bookings are not transferrable to another group without our prior agreement.

May we remind you that your booking is a legally binding contract and in the event of cancellation, refunds will only be given as set out above. This also applies to mistakes on booking and adverse weather conditions, over which we have no control. Therefore, if you realise you have made a mistake when booking (e.g. your tent or van will not fit on the chosen pitch) or you choose to cancel your booking due to the weather, the same cancellation terms will be offered.

Bookings are not transferable to another person/family without our prior agreement in writing. If you are concerned about the prospect of cancellation, please take out holiday insurance.  Please see further information below.

Cancellation by Us (Point Farm Campsite)

We reserve the right to cancel a camping or Shepherd’s Hut holiday at short notice if we are unable to provide safe accommodation or camping environment, due to extreme weather conditions, ill health, fire, flooding or any other extenuating circumstances beyond our control.  Under such circumstances, your full payment will be returned to you.  We cannot accept liability or responsibility for any loss, including consequential loss, caused by cancellation.  The Greener Camping Club membership fee is not refundable.

Cancellation in the Event of Covid-19 Infection

If you have to cancel your booking for any of the following reasons:

  • You or a member of your party have a positive Covid-19 test

  • You or a member of your party have to self-isolate due to contact with a Covid-19 sufferer or due to abiding by government direction

  • You or a member of your party develop Covid-19 symptoms and are awaiting test results

  • Your area is out into a localised lockdown - that means you will be breaking the law if you travel

then the 'Cancellation by You' clause will apply.  In the event of cancellation by you due to any of the above reasons and it is within 30 days of your booked dates, you have the flexibility to move your booking to any available date up to the end of 2021 (in line with the Cool Camping 'flexible rebooking policy') with no additional charges. You must notify us by 12 noon of the day prior to the start date of your booked stay (the 'rebooking deadline') if you wish to make use of the flexible rebooking policy. If you do not notify us by the rebooking deadline, it will be assumed that your booking still stands and therefore the flexible rebooking policy will no longer apply. In that event, if you do not subsequently check in on the booked arrival date, the full payment will be forfeited and no refunds will be made.

The flexible rebooking policy is only available for cancellations related to genuine Covid-19 restrictions or reasons. Flexible rebooking is not available for cancellations related to weather or other reasons.

In the event that you use the flexible rebooking policy and choose a date where the same accommodation is only available at a higher price, the additional prevailing rate for the stay will be due.

Due to the flexible rebooking policy, the low deposit and late balance payments, and you cancel within 30 days of your booked dates no refunds are available to you on any funds paid to us (either the deposit or the balance payment). If you fail to pay the balance by 30 days prior to the holiday start date, the deposit may be deemed to be forfeited by us and the booking cancelled. In such an event the flexible rebooking policy will no longer apply.

Special Covid-19 Condition

If as a result of Government restrictions on campsites we are forced to cancel your holiday, we make a heartfelt request that rather than a refund, we instead hold your deposit as a credit against a later stay, valid for up to 12 months from your original holiday dates.  If you postpone until the following year your Greener Camping Club membership will be carried over to the end of that year.

As a small business, we are wholly dependent on your custom for our survival.  We realise these are difficult times for all, but your support will help us get through this and continue to make Point Farm Campsite a wonderful place to stay.

Children & Adults Safety

We ask that all children are supervised at all times and that any children under 10 are accompanied when using the shower block or other facilities.  It is parent’s responsibility to ensure that all facilities are used with care and left in a clean state after use.  Please be aware of where your children are and what they are doing.  Our aim is for children to have a truly enriching experience of space and freedom, but there are contingent risks which should be self-evident.  There is no play area onsite and the space in the middle of the site is on a slight slope.  We provide firepits for each pitch and permit BBQs.  The Shepherd's Hut has a gas stove.  We use a ride on mower to cut the grass and drive a quad bike around.

We do not accept bookings from unaccompanied children or young adults aged 18 or under.

Point Farm Campsite will not be liable to any person staying or visiting, for any personal injury, fatal or non-fatal unless caused by a negligent act or omission by the owners or its staff.  Point Farm Campsite will not be liable for any injury, loss or damage to any property including, motor vehicles and personal effects, howsoever caused or sustained.

Arrival & Departure Times

You are welcome to arrive on site anytime from 2pm for camping and 4pm for the Shepherd's Hut.  We ask you to let us know your expected arrival time so that we can be here to greet you.  For the consideration of our other campers, we ask that you try not to arrive after 10pm, especially when putting up a tent.  Please come up to the Site Office to check in before pitching.  Please let us know if you are going to be later than planned.

We ask that you vacate your pitch by midday at the very latest, on the day of departure, and that that you leave the pitch in a clean and tidy state.  Again, for the consideration of our other campers, we ask that you do not put up tents or pack up between 10pm and 7am and if you do then please be mindful of the other campers and keep noise to a minimum.

Non or Late Arrival or Early Departure

Unless you have notified us in advance, we will hold your pitch(es) until your expected arrival time on your arrival date.  We reserve the right to re-let any pitch not claimed by this time.  We will not give any refunds for late arrivals or early departures.

Vehicles

Please take care when driving through the site. Wherever possible, please stick to the track and do not drive across the grass.  Campervans are only permitted on certain pitches. When camping on the grass terrace, vehicles must be parked in the car park area and not driven onto the pitches.  Please drive vehicles at no more than 5mph whilst on the site and be aware of the tight access.  The road to Point Farm is a single-track road however it is used by a number of vehicles at all times.  Please drive carefully and respect all other road users. We accept no responsibility for damage or theft incurred to vehicles whilst on site.  We do not allow recreational vehicles such as motorised scooters or quad bikes on the site.

Parking

Each all-weather pitch has enough space for one vehicle (campervan/motor home included).  Parking for the grass pitches is in the car park area.  There is no driving or parking on the grass pitches.  The fees we charge include one vehicle per pitch.  If you are intending on bringing additional vehicles, please contact us in advance to discuss suitability and space.  We reserve the right to charge an additional fee for additional vehicles, space permitting.

Consideration for Others

This is a peaceful campsite for the enjoyment of being in nature and the outdoors.  Please respect other campers by being conscious of noise levels, particularly after 11pm. If using sound systems or radios and TV’s please keep the volume low and do not use them after 11pm. Acoustic instruments are welcomed, such as guitars, harmonicas, flutes etc. but again we ask that you do not play them after 11pm.  Noisy campers who persistently disturb other campers and are not considerate in their behaviour or attitude will be asked politely to leave, without refund (this has never needed to happen). If you are out for the night and arrive back late, please consider other campers and avoid disturbance.  Generators are not allowed onsite.

Groups

Please contact us if you are a group, even when booking pitches individually, so that we can allocate pitches together.  Although we are happy to welcome groups, we would ask you to remember that Point Farm Campsite is a rural location ideal for relaxing and that we would not want our other campers to be unduly disturbed. A Group Leader will be the main contact, responsible for group behaviour, and for communication and payments.  Full details of group numbers (adults and children), any extras (electricity and pets) and what you are camping in (tents or vans) must be given on booking.

Exclusive Hire

Please contact if you would like to book the campsite for exclusive hire.  The same site rules apply for exclusive hire.  Exclusive hire is for a minimum of 3 nights at any time and will include the Shepherd’s Hut.  A Main Contact will be responsible for behaviour, and for communication and payments.  Full details of all campers (adults, children and pets) and what you are camping in (tents or vans) must be given on booking.  You are expected to leave the site in the same state as you found it and any damage will be charged to the Main Contact.

Pitches

Our grass pitches can only accommodate maximum 6-8-berth tent with an awning/windbreak – ideally a tunnel design.  Grass pitches do not have parking and vehicles must be parked in the adjacent car park – please do not drive on the grass.

Our all-weather pitches can accommodate tents however we recommend the use of additional ground sheets for cushioning.  They are particularly suited to campervans up to a maximum 6m in length.

They are for one unit only with an awning/windbreak.

If you have additional gazebos or ‘pup tents’ for children, please check with us first to ensure that the pitch is suitable.  There is no additional charge for additional units.  Charges are per person.

Please check the exact size of the pitch before booking to make sure your unit fits on.

Visitors

You are more than welcome to have day/evening visitors during your stay.  Please do not allow day visitors to stay overnight.  We charge additional fees for anyone who does stay.  Because of the size of the site we may not have space in the parking area for additional parking therefore we ask that you check with us first before any visitors bring vehicles on site.  All visitor cars should be parked in the parking area.

Waste & Recycling

Dry waste, food waste and recycling bins are available for your use on site.  A condition of staying with us is that you recycle your rubbish.  Please make use of the recycling facilities provided.  We have recycling bins for cardboard, paper and plastics, and separate glass bins, gas canister bins and battery bins.  Please either use the bins provided or take all rubbish home.  Please do not use the bins to dump broken tents or camping equipment – these should be taken with you.

Wastewater Drainage

All waste drainage is to a septic tank and soak-away.  Please do not flush wipes, sanitary waste, nappies, cloths etc. down the toilets. We provide bins in the toilets – please use them.

We have a separate Chemical Waste Disposal point.  Please do not dispose of chemical waste in any other way.  Please use the tap and hose to rinse the area.

Badgers & Foxes

You might get a glimpse of both of these creatures. At night you'll probably hear them scurrying around, often looking for food.  Please put your food in suitable, hard containers and your recycling in the bins provided. Don’t leave food scraps lying around and make sure your tent is zipped up at bedtime.

Dogs

We are a dog friendly site, however fees apply, and we restrict numbers to a maximum of 2 dogs per pitch. In consideration of our other campers we expect that dog(s) will be well behaved, under proper control at all times and never left unattended.  They must be kept on leads of not more than 2 meters in length unless on your pitch. Please be responsible for cleaning up after your dog(s).  There are dog waste bins on site.

If any dog is suspected of misbehaving, or not being under proper control we will, in the first instance, bring this to the attention of its owner. We are afraid that any further misbehaviour will result in the owner being asked to leave the site and without any refund of payment already made.

Sorry, but we do not accept dogs inside the Shepherd’s Hut but they can be kept in the kitchen are if on a lead.

Fires & BBQ’s

Open campfires are not allowed anywhere on site.  Each pitch is provided with a firepit which can also be used as a BBQ. You are welcome to bring your own fire pit as long as it is raised off the ground and will not scorch the grass/pitch.   Please do not use branches, debris, or other items you may see around the property to burn in the fire pit and please do not gather wood from the surrounding protected wood.  We sell boxes of wood and charcoal onsite.

Do not leave your firepit unattended and think carefully about whether or not to light a fire if it is windy.

You are welcome to use short-legged BBQ’s on site, however, please place them on stone paving slabs provided.  We do not allow disposable BBQs.  Please remember that BBQs give off poisonous carbon monoxide (CO) gas.  Never use a fuel-burning appliance inside your van, tent or awning.  Even a cooling BBQ can be lethal.

Lanterns & Fireworks

We would ask you to consider the environment and not release Chinese lanterns, which pose a risk to nearby livestock and farmyard buildings. Due to the coastal location and in line with MCA coastguard guidelines we would also ask that you do not release fireworks.

Repairs & Maintenance

We work hard to maintain the site to a high standard.  Please let us know if any repairs are required to the site during your stay.  We need to cut the grass regularly so sorry in advance if this causes any inconvenience.

The Weather

In common with all of wild west Wales, this campsite can be subjected to extreme weather conditions.  Very strong winds and torrential rain can occur at any time of year, though we are fortunate to be on high ground with good drainage so do not flood.  You must ensure that your tent is robust and correctly erected.  In some cases we may ask you to move to another pitch.  Please note, we do not provide a refund because of the weather.  Extreme weather is covered in 'Cancellations by Us'.

Private Areas

Point Farm House and Cottage are our family homes.  We would therefore ask you to respect our privacy and that our gardens and houses remain private areas.

Emergency Contact

A list of emergency numbers is available in the shower block and for emergencies please come up to the Cottage.  If you give our main number to any contacts, please ensure that it is only used to contact you in an emergency.

Property Loss

Point Farm Campsite cannot be held responsible for any lost or stolen property.  We have never had an incidence of theft and we very much hope we never do.

Complaints

If you have a complaint about anything during your holiday please raise it with us immediately, to give us the opportunity to resolve it for you. If you wish to pursue your complaint following your holiday, please write to us within 28 days of your departure.

Additional Terms & Conditions – these only relate to Shepherd’s Hut bookings

Gas for the Shepherd’s Hut Kitchen

Gas for the camp kitchen cooker is included in the price of the booking.  Please use the gas cooker in accordance with our instructions and never leave anything aflame if you are not in attendance.

Breakages & Damages

In the unlikely eventuality that upon arrival you find any items or fittings, utensils or crockery or cutlery are broken, damaged or missing, please report it to us and it will be replaced as soon as possible.

Should any significant damage or breakage occur, other than acceptable wear and tear, a charge for replacement may be made.  We reserve the right to charge for excessive cleaning where a yurt has been left in an unacceptable condition, through waste, litter, interference in the structure, movement of furniture and contents etc.  Guests will be held responsible for any fire, smoke or general damage, or alteration to the structure caused by negligence.

We reserve the right to waive any particular conditions in individual cases or to amend or vary these terms and conditions at our absolute discretion. In the event of a dispute, as site owners, our decision is final.
